Spa Ledger ("we," "our," or "us") operates spaledger.co and provides monthly bookkeeping services to spa and salon owners. This policy explains what information we collect, how we use it, and your rights regarding it.
Information we collect
When you submit the contact form on our website, we collect:
- Your name and spa or business name
- Your email address
- The accounting software you use (QuickBooks Online or Xero)
- Any additional information you choose to include in your message
When you become a client, we additionally collect access to your accounting software (QuickBooks Online or Xero) for the purpose of performing bookkeeping services. We do not store your accounting credentials — access is granted through your software's built-in user permission system.
How we use your information
- To respond to your inquiry and determine whether Spa Ledger is a good fit for your business
- To provide monthly bookkeeping services if you become a client
- To deliver your monthly P&L report and any observations about your business
- To send service-related communications (report delivery, billing, onboarding)
We do not sell, rent, or share your personal information with third parties for marketing purposes.
Third-party services
We use the following third-party tools to operate our service:
- Formspree — processes contact form submissions. Submissions are stored on Formspree's servers. See Formspree's privacy policy at formspree.io.
- Booke AI — assists with daily transaction categorization. Financial data processed through Booke AI is subject to their privacy policy.
- Netlify — hosts this website. Netlify may collect standard server logs including IP addresses.
Data retention
We retain client financial data and communications for a minimum of three years, consistent with standard bookkeeping practice. If you end your service, we will provide you with a copy of your records upon request and delete our copies within 90 days.
Your rights
You have the right to:
- Request a copy of any personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information (subject to any legal retention obligations)
Security
We use reasonable measures to protect your information, including access controls on your accounting software and encrypted communications. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
Changes to this policy
We may update this policy as our service evolves. We will notify active clients of material changes by email.
