Terms of Service

These Terms of Service govern your use of spaledger.co and any bookkeeping services provided by Spa Ledger ("we," "our," or "us"). By submitting the contact form or engaging our services, you agree to these terms.
Services
Spa Ledger provides monthly bookkeeping services for spa and salon businesses, including:
- Daily transaction categorization in QuickBooks Online or Xero
- Monthly profit and loss (P&L) report delivered by the 10th of the following month
- Brief written observations on your financials alongside each report
Services are delivered remotely. We do not provide tax preparation, tax filing, payroll processing, or financial advice. If you need those services, we are happy to refer you to a qualified CPA or tax professional.
Pricing and payment
Monthly service is $349 per month, billed on the first of each month. Clients who prepay for 12 months in advance are billed at $249 per month ($2,988 total). We use Stripe for payment processing; your card is charged automatically on the billing date.
Your first month of service is free. No credit card is required to start. After the free month, you choose whether to continue on the monthly or annual plan.
If a payment fails, we will notify you by email and retry once after five days. If the second attempt fails, service will be paused until payment is resolved.
Cancellation
You may cancel monthly service at any time with no penalty. Cancellations take effect at the end of the current billing period — we do not issue prorated refunds for partial months.
Annual prepayment clients who cancel before the 12-month period ends will receive a prorated refund for unused full months, minus any discount received. For example, if you prepaid for 12 months at $249/month and cancel after 4 months, you will be refunded the 8 remaining months at $249 each.
Client responsibilities
To provide accurate bookkeeping, we need:
- Accountant-level access to your QuickBooks Online or Xero account within 3 business days of onboarding
- Responses to clarification questions (typically about transaction categories or vendors) within 5 business days
- Notification if you change accounting software, add new revenue streams, or hire employees
If we cannot access your accounting software or receive timely responses, report delivery may be delayed. We are not responsible for errors caused by incomplete or inaccessible information.
Accuracy and limitations
We use reasonable care to categorize transactions accurately. Bookkeeping is not an exact science — some transactions require judgment calls, and we will follow up when a transaction is ambiguous. Final responsibility for reviewing and approving your books rests with you.
We do not guarantee that our reports will satisfy any particular audit, lender, or regulatory requirement. We recommend having a CPA review your books at least annually.
Confidentiality
We treat your financial data as strictly confidential. We do not share your information with third parties except as necessary to deliver the service (see our Privacy Policy for details). We will not disclose your business financials to anyone without your written consent, except as required by law.
Intellectual property
The reports, templates, and written observations we deliver to you are yours to keep and use however you like. We retain ownership of our internal processes, tools, and systems used to produce them.
Limitation of liability
Spa Ledger's liability to you for any claim arising from our services is limited to the fees you paid in the three months prior to the claim. We are not liable for indirect, incidental, or consequential damages, including lost profits or business decisions made based on our reports.
Changes to these terms
We may update these terms as our service evolves. We will notify active clients of material changes by email at least 14 days before they take effect. Continued use of the service after that date constitutes acceptance of the updated terms.
Governing law
These terms are governed by the laws of the State of Florida. Any disputes will be resolved in the courts of Miami-Dade County, Florida.
